CHALLENGE
The current technical writing team inherited a backlog of outdated, poorly organized, and confusingly written documentation dating back nearly ten years.

SOLUTION
Develop a system to sort and filter through currently published documentation and ultimately update or archive legacy articles.

PROCESS
1. Sort and Filter
The first thing we needed to do was sort articles into content that should be removed, and content that should be updated. To do so, we created a tracker that showed the following metrics for each article:

Date published

Date of review
-
Duplicate?
-
Number of incoming links
-
Product version
-
Google Analytics page views
Articles that were marked for archiving fulfilled one or more of the following criteria:

Over 5 years old
-
Less than 50 page views
-
Included duplicate content
-
Included content for a version that was at end of life
If any articles were marked for archiving that also included incoming links, we backtracked the links and removed them to prevent creating 404 errors.
2. Editing remaining articles
Any articles that were not marked for archiving were tracked as either quick edits or projects.

Quick edits: Editing would take less than an hour, with no need for SME input.

Projects: Editing would take longer than an hour, or would require clarification from an SME.
3. Staying organized and measuring efforts
We created an epic on Jira to track our cleanup efforts. Posts were sectioned out in stories by date published.
Within each story we tracked time efforts and status for visibility.

Over 550 legacy articles were removed, and over 200 articles were updated for clarity and style.
